What the connector can do across multiple organisations in a single session

Writes

Each one is a draft that waits for your approval.

  • Invoices and bills

Create, or update one that is still a draft or awaiting approval.

  • Contacts: create or update

  • Credit notes, for sales or bills

  • Quotes

  • Manual journals

OptionalOff by default.

  • Payments against invoices

  • Payroll: timesheets, leave, pay runs, employee details

Pay runs in Australia and New Zealand. Posting one is Australia only, and Invio cannot undo it.

Reads

Live from Xero. Nothing is changed.

  • Every connected organisation

  • Invoices and bills, with line items

  • Who owes you and how overdue

  • Profit and loss, balance sheet, accounts

One organisation, or several side by side with a total: a plain sum in one currency, not a consolidation.

  • Contacts, credit notes, quotes, projects

  • Drafts still waiting for approval

OptionalOff by default.

  • Payments, employees, leave and pay runs

Payroll covers Australia, New Zealand and the United Kingdom.

Where your data goes

The first question everyone asks, answered plainly. The full version, permission by permission, is on the security page.

Where does my data go?
To answer a question, the connector reads from Xero through Xero's own API, only for the organisations and permissions you chose. Your assistant reads the result to answer you; Invio does not keep it afterwards.
What does Invio keep?
Your Xero refresh token, encrypted. The list of organisations you authorised. A record of which tool ran, when, and against which organisation. While it waits for you, the draft itself, with its real amounts and contact details: until you approve or reject it, or for up to 24 hours if you do neither, and its financial detail is then cleared from our records within 90 days. Not a copy of your ledger.
Can it change my books on its own?
No. A change your assistant proposes is only a draft. Nothing reaches Xero until a person approves it, and it expires after 24 hours if nobody does. Every approval records who made it.
Can I stop it?
Yes, any time. You choose the permissions and the organisations, and payments and payroll stay off unless you turn them on. Revoke any connector, or disconnect Xero entirely, from Settings: access ends on the next call, and Invio asks Xero to revoke its token too.
Is it used to train AI models?
Not by us, and not by Xero's terms, which prohibit it. What the assistant's own provider does with your query is governed by your agreement with them, not with us - check their current terms before you rely on that.

Read the full answer on the security page.

One connector, every organisation in your group

A holding company and one or more trading companies, an investment or family-office portfolio, property and SPV portfolios, funds, multi-brand operators, or one owner running entities in two countries - anyone whose group-level question does not have a single-entity answer. Xero holds each organisation as its own file; your assistant does not have to work that way.

"Who owes the group money, right now?"

Ask once, and your assistant reads outstanding receivables from every organisation you've authorised and lays the totals out per entity - no reconnecting between them.

"How is each entity's month going?"

Ask for profit and loss or the balance sheet across every organisation in one go: a row per account, a column per entity and a total added up by Invio, side by side instead of one login at a time. It needs the entities to report in one currency - if they do not, you are told which is which and nothing is converted.

Each organisation is read on its own, in its own currency, and the group report adds them up side by side - a plain sum. Invio does not consolidate the group's books - no intercompany eliminations, no account mapping, no currency translation - so it sits alongside the tool you consolidate in, not in place of it.

Also used by practices that hold several client files.

Optional permissions, off until you turn them on

Payments (optional permission)
Payments already recorded in Xero - who paid, how much, against which invoice. Only visible if you've chosen to grant this permission for a connection.
Payroll, read only (optional permission)
Employees, pay runs, timesheets, leave balances, earnings rates and leave types - Australia, New Zealand and the United Kingdom. Only visible if you've chosen to grant this permission for a connection.
Record payments (optional permission)
Record a payment against an invoice - held until you approve it. Unlike everything else here, once approved this applies in Xero immediately; it can only be undone from inside Xero itself.
Payroll: make changes (optional permission)
Draft a timesheet (Australia, New Zealand or the United Kingdom) or a pay run (Australia or New Zealand only - Xero's own API documents no way to create one for the United Kingdom, generated inside Xero from the pay calendar instead), held until you approve them. Posting a pay run to Xero is a separate step, Australia only - Invio does not build a way to undo it, so check it in Xero if you need to be sure - and only tickable once Payroll, read only is granted too. Also propose a leave application for one employee, or a change to an employee's first name, last name, email, phone/mobile, or home address - and nothing else about them; bank details, tax numbers, pay and leave entitlements are not fields this connector can ever touch.

See it in action

A two-minute recording, made in claude.ai, of this connector answering questions against a test Xero organisation. Beside it, three questions as a transcript against Xero's own Demo Company (NZ) sample data.

A real recording, made in claude.ai, against a test Xero organisation, phrased and priced for a US accounting practice. The wait between question and answer is shortened - nothing else is altered.

In Demo Company (NZ), who owes me money and how much?
NZ$18,196.38 is outstanding across 12 invoices, and NZ$12,372.63 of that is overdue. The largest is Ridgeway University at NZ$6,187.50 - all of it overdue. City Limousines has four invoices overdue too, the oldest due back on 27 June.
Of those, which one has been overdue the longest, and what should I chase first?
City Limousines has been waiting longest - its oldest invoice was due 27 June, and three more have followed since. Ridgeway University is the single biggest amount, NZ$6,187.50, entirely overdue. If you can only chase one today, chase City Limousines - it's been waiting longest. If you have time for a second, Ridgeway University is worth the most.
Draft an invoice in Demo Company (NZ) for Bayside Club, NZ$450 plus GST, for a callout on 8 September.
I haven't sent anything to Xero - I've drafted a sales invoice for Bayside Club, NZ$450 (excl. tax; Xero adds GST once it's created), for the 8 September callout. It's now waiting in your Xero connector's approval queue in Invio, with the exact details for you to check before anything happens. If nobody approves or rejects it, it expires on its own in 24 hours - nothing reaches Xero unless you say so.

These are Xero's own Demo Company (NZ) sample figures - Xero publishes that organisation as fictional data, not a real customer's books. The first two answers were produced by the live connector on 10 September 2026; the third shows what the connector actually returns for a drafted invoice.

Name the organisation when you ask something new, the way the first and third questions above do. With only one organisation connected, Invio uses it automatically; with more than one, it asks which one rather than guessing. A follow-up that reasons over an answer already on screen, like the middle question above, does not need to repeat it.

If you already use Xero's own connector

Checked 7 October 2026: Xero describes the hosted connector as read-only at launch, including profit and loss summaries. Record changes happen in Xero. Xero's setup has you choose an organisation. In its 28 September 2026 developer update Xero said its remote MCP server, the endpoint this connector uses, supports switching between multiple Xero organisations. Whether one conversation can query several organisations at once is not documented, so it is not verified here.

If your group needs every organisation in one conversation, the invoices and bills behind each total, and changes held as drafts for a person on your account to approve, that is what Invio is built for. Our dated comparison sets Xero's own tools, other connectors and Invio side by side, with a source and a checked-on date for each fact.

Frequently Asked Questions

Which AI assistants does this work with?
It uses MCP (Model Context Protocol), the standard way AI assistants connect to other software - a technical detail worth knowing once, not a word you need again. The assistants we have set up and documented are listed on this page; other AI assistants that support connectors may need their own configuration and we do not claim one works until we have run it. Invio already runs the same connector mechanism for its own tools with Claude and ChatGPT (see the AI invoicing and Connect your AI pages), so we expect both to work here the same way. We have not tested every AI product on the market, and we are not going to claim one works until we have - if a setup guide is missing for the assistant you use, ask us and we will tell you honestly where that stands.
What happens when my assistant wants to change something?
It can't post the change to Xero directly. Your assistant hands the draft - a new invoice, or a contact edit - to Invio, which shows you exactly what it wants to write and to which organisation, and holds it. Nothing reaches Xero until a person approves it - with a click in Invio, or by clearly telling your assistant to approve it, right there in the chat. Either way, if nobody approves it, it never happens: the draft expires 24 hours after your assistant drafted it, nothing is written to Xero, and the expired draft stays visible in your history so you can still see what was proposed.
Once I approve an invoice, is it finished in Xero?
That is your choice, and your assistant asks for one. An ordinary invoicing request lands in Xero already approved, with nothing left for you to fill in - your approval in Invio is the only approval anyone gives. Ask for it to be checked in Xero first and it lands as a draft there instead. Either way the connector never emails the invoice to your customer: sending stays something a person does in Xero, deliberately. If you leave the due date out, your own default payment terms from Xero are used and the approval card tells you which terms those were - and if your organisation has no default terms set, your assistant asks you for a due date rather than leaving it blank.
Who on my team can approve a change?
On Starter, that's just the account owner - there's no other login on that plan. Pro and Growth let you invite people as an Approver (can approve or reject drafts) or a Viewer (sees the same queue, but can't act on it). The account holder is always the owner. Every approval and rejection is recorded against the person who made it, and the History section of your approvals page shows who it was, on every plan.
Can my assistant read data without approval?
Yes. Reads run straight through - invoice lists, contacts, profit and loss, balance sheet, who owes you money. That is the point of being able to ask a question. The approval gate is on writes only: creating or changing an invoice, a contact, a credit note, a quote, a manual journal, or recording a payment (payments is an optional permission you choose to grant).
Can it work across all my Xero organisations at once?
Up to the number on your plan, yes - but it is worth being precise about the mechanism. Most reads are answered per organisation: your assistant asks the same question of each one you have authorised and puts the answers together for you, rather than one call somehow spanning all of them at once. The exception is the group report: one call lays the profit and loss, or the balance sheet, of several organisations side by side, with a total added up by Invio rather than by your assistant - in one currency only. Either way you can ask once and get a combined answer without reconnecting, and a call can never reach an organisation you have not authorised: every organisation is checked against the ones connected to your account, within your plan, and a team member restricted to certain organisations only ever gets those. Invio does not consolidate them - the next answer says what that means.
Does it consolidate my group's books?
No. Invio does not consolidate, eliminate intercompany balances or translate currencies. For the profit and loss and the balance sheet, Invio can put several organisations side by side in one table - a row per account, a column per organisation and a total - when they all report in the same currency, and the total is added up by Invio, not by your assistant. That total is a plain sum: intercompany balances are still in it, accounts are matched only by exact code (or by exact name where an account has no code) with no mapping between differently built charts of accounts, organisations that report in different currencies are refused rather than converted, and if one organisation cannot be read you get an error naming it rather than a total that leaves it out. Everything else you ask across the group is your assistant asking each organisation in turn and putting the answers together in the conversation, so treat a combined figure as a working number. If you need full consolidated statements, use a tool built for consolidation - Joiin, Syft or Fathom, for example; Invio does not replace one.
How much detail can my assistant see - the lines, or only totals?
The lines, not only the totals. Your assistant can list invoices, bills, credit notes and quotes for any organisation, filtered by status or date range, then open any one to read its line items: description, quantity, unit amount, line amount, account code and tax type. It can also read contacts with what each customer owes and has overdue, your chart of accounts, Xero Projects jobs if you use Projects, and the profit and loss and balance sheet reports row by row, one row for each account line and subtotal. Payments are readable too if you tick the payments permission when you connect. It cannot read the bank feed: individual bank transactions, such as a card charge, are not available, and manual journals can be drafted but not read back.
Does inviting a team member cost extra?
No. Price is set by how many Xero organisations you connect, never by how many people or assistants use them. On Pro and Growth, invite up to 20 people as Approvers or Viewers at no extra cost. Starter has no other logins - it is one account owner.
Is this an official Xero product?
No. Invio is an independent connector built on Xero's official API. We are not affiliated with, endorsed by, or certified by Xero, and we say so on every page.
How is this different from Xero's own AI connector?
Xero describes the hosted connector as read-only at launch, including profit and loss summaries. Free to add, with an active Xero subscription and a free or paid Claude account. This does not make the Xero subscription free. Invio is built for a group that wants three things: every organisation your plan allows in one conversation, the line items on invoices, bills, credit notes and quotes, and any change your assistant proposes held as a draft until a person on your account approves it. If you run one organisation and only need to ask questions, Xero's own connector already covers that.
What Xero permissions does it need?
Before you go near Xero, you choose which permissions to grant on Invio's own picker - invoices, journals, reports and projects are ticked by default; recording payments and payroll are off unless you turn them on. Xero's own OAuth screen then asks for exactly what you ticked, and lets you choose which organisations to include. You will need advisor-level, or standard-with-reports, access on each organisation you connect. You can change your permissions or revoke access at any time from Settings, and from inside Xero directly - either way, we lose it immediately.
Can I limit what the assistant can reach?
Yes - permissions are opt-in, not all-or-nothing. Invoices, credit notes, quotes, manual journals, reports and projects are on by default and you can turn any of them off; recording payments and payroll access are off by default and you turn them on only if you need them. Payroll write access additionally requires payroll read access to be on first. Change your selection any time from Settings > AI connections > Xero > Change permissions - it reopens Xero's consent screen for the new selection, and does not touch your organisations or connector URLs.
Where does my financial data go?
To answer a question, the connector reads from Xero through Xero's own API, only for the organisations and permissions you chose. Your assistant reads the result to answer you; Invio does not keep it afterwards. The full wording is on our subprocessors page.
Is my data used to train AI models?
Not by us, and not by Xero's terms, which prohibit it. What the assistant's own provider does with your query is governed by your agreement with them, not with us - check their current terms before you rely on that.
Who is responsible for what gets posted?
You are. Invio shows you every change before it happens and records who approved it, but the approval is a human decision and the entries are yours. Review what your assistant drafts the way you would review anyone else's work before it goes in your books.
What if I switch assistants later?
Point the new one at the same connector link from Settings. Your Xero authorisations and everything Invio knows about your organisations stay where they are - there is nothing to migrate, and no need to re-authorise Xero.

Start with the entities you already can't see across

Connect the Xero organisations you run, point whatever assistant you already use at Invio, and ask the question you'd normally open several tabs for.
