How to use it

Week starting
Write the date of the Monday at the top of the sheet you print, so an old roster is never mistaken for this week's.
One line per person
Put each person on one line. Write times the same way every time (7:00-15:30) so the hours are easy to add up.
Breaks
Say on the roster whether the hours include the unpaid break or not, then keep to it for every person.
Total hours
Add the hours across each row. The total is what you check against pay and, for work you bill by the hour, against what you invoice.

Check before you publish a roster

A roster is only a plan. What a person must be paid depends on the award or agreement that covers them, and that is not something a template can decide.

Check pay and hours
Minimum pay, rest breaks, penalty rates and notice of changes depend on the award, agreement or contract that covers each person. Check them with the Fair Work Ombudsman before you publish. This page is general information, not workplace relations advice.
Cover
Is every shift that needs someone covered, and does anyone appear on two places at once?
Availability
Have you asked people for their availability and leave before you build the week?
Copies
Does everyone get the same final version, and do you keep last week's roster for your records?

From the roster to the invoice

If you bill for the hours your people work, the roster is where the invoice starts.

Invio is invoicing software, not a rostering tool, so this template and Invio sit side by side: you plan the week on the roster, and you invoice the hours in Invio, with the right ABN and GST on every invoice. Invio's own shift and roster screens are built for NDIS providers and live in support worker invoicing.

For any trade or service business, the free tax invoice template shows what the invoice needs, and the free invoice generator builds one in a minute.

Questions about the roster template

Is this roster template free?
Yes. Print the table on the page or download the CSV and open it in Excel or Google Sheets. There is nothing to sign up for.
Does the roster work out pay, penalty rates or overtime?
No. It adds nothing up for you beyond what you type in. Pay rules depend on the award, agreement or contract that covers each person, so check them with the Fair Work Ombudsman or your accountant.
Is Invio a rostering app?
No. Invio is for invoicing, quotes and getting paid. Its shift and roster screens are built for NDIS support work, as part of support worker invoicing, not as a general rostering tool.
