Invoicing software for NDIS support workers in Australia

Invio is invoicing software for Australian sole-trader NDIS support workers. Switch on support worker invoicing and each participant carries an NDIS number, each invoice line carries its own date, unit and item code, and an invoice can go to a plan manager with the participant as the named client. If you are registered for GST, you mark GST-free lines yourself. On every plan, including the free plan, since 11 October 2026. Australian accounts only, and you switch it on for each business. Start free: up to 5 invoices a month, no credit card.

What support worker invoicing does at a glance

What you needThe participant's NDIS number on the invoiceHow Invio handles itA nine-digit NDIS number saved on the participant and printed in the Bill To block, under the participant's details, on every invoice and quote. It is applied when you send, so invoices sent before you added it do not show it
What you needOne dated line per supportHow Invio handles itEach line carries its own date, a unit (hour, km or each) and an item code. "Duplicate for next day" copies a line forward one day
What you needSupport item codes and unitsHow Invio handles itImport the supports you use from your own NDIA Support Catalogue download. Invio reads the item number, the name and the unit
What you needA plan-managed participantHow Invio handles it"Send invoices to someone else" on the participant. The participant stays the named client and the plan manager prints as "c/o" if you give the plan manager a name. This works on any Invio account
What you needGST-free supports (GST-registered businesses only)How Invio handles itMark single lines or the whole invoice GST-free, mix them with taxable lines, or set "GST-free by default" on a participant
What you needTravel as its own lineHow Invio handles itSave your own rate per kilometre once, in Settings, Invoice Defaults, Travel line. Then press "Add travel" next to Add Line Item and type the kilometres: Invio adds one ordinary line you can edit or remove. With support worker invoicing on, the line gets "km", your saved item code and the date of the last dated line above it. Invio does not suggest a rate
What you needCatching slips before you sendHow Invio handles itSix gentle notes. They never stop you sending
What you needAI featuresHow Invio handles itVoice invoices and Offsider are off until you turn them on. Invio keeps no text of those AI conversations for the business
What you needDictating a week of shifts (voice, once you turn it on)How Invio handles itDictate the week and get one dated line per day: "Tuesday 3 hours, Wednesday 4 hours" becomes two lines, each with its own date. Invio works out the dates and you check them before you save. Item codes come only from your own saved items
What you needWhat it does not doHow Invio handles itSubmit claims, check item codes or prices, suggest a travel rate, or decide what is GST-free

How do you set up support worker invoicing in Invio?

1. Switch it on
Settings, then Business, then Your industry, then support worker invoicing. Nothing changes on your invoices until you do. Switching it off again stops the extra fields being offered; what you already saved or sent stays as it is.
2. Add the participant
On the client form the name field now reads "Participant". Enter their nine-digit NDIS number.
3. Import your supports (optional)
Download the NDIA Support Catalogue (it is an Excel file), keep the rows for the supports you use, save them as a CSV and import that file into your saved items. Invio reads the item number, the name and the unit; you choose which price column to use. Invio does not bundle the catalogue.
4. Add the plan manager (optional)
Under "Send invoices to someone else" on the participant's record.
5. Write the invoice and press Send
One line per support per date. Read any notes Invio shows. Invio emails the invoice, with the PDF, to the participant or their plan manager when you press Send.

Two details that save rework: a recurring invoice or a new version starts with its line dates cleared, so last week's dates are never repeated by accident; and switching the option on adds one saved text block, "Supports delivered on the dates shown", which you can edit or delete.

What does an NDIS invoice from Invio look like?

The sample shows the participant's name and NDIS number in the Bill To block, the plan manager as "c/o", and one line per support, each with its own date, unit and item code. The full sample, and what plan managers ask for, is in the NDIS support worker invoicing guide.

Thank you for your business!

How do you add travel to an NDIS invoice in Invio?

1. Save your rate once
Settings, then Invoice Defaults, then Travel line: your own rate per kilometre, the line text (the default is "Travel") and, if item codes are switched on, the item code.
2. Press Add travel
Next to Add Line Item in the invoice or quote editor, on a phone or a computer.
3. Type the kilometres
Invio shows your rate, which you can change for this trip, and adds one ordinary line. Tick "Save this rate as my default" if you want the changed rate kept.

The line is a normal line: edit it or remove it. Invio does not suggest a rate. For how plan managers expect travel and cancellations to be claimed, read the NDIS travel and cancellations guide.

What are the six notes Invio shows before you send?

Each one only warns. None stops you sending.

01
A participant has no NDIS number (on an invoice or a quote).
02
A priced line has no date.
03
A line's date is later than the invoice date.
04
A line's description looks like a date range.
05
A card fee is being added to the invoice. The NDIA's 2025-26 rules say providers registered with the NDIS Commission must not add charges such as card surcharges unless the pricing arrangements allow it.
06
Your business is registered for GST, GST is on every line, and no line is marked GST-free (on an invoice or a quote).

Beyond these, Invio checks only that an NDIS number is nine digits. It cannot tell whether the number belongs to a real participant.

How do you mark NDIS supports GST-free on an invoice?

Only if your business is registered for GST - the option appears only then.

1
In the invoice or quote editor, choose "Mark items as GST-free".
2
Tick the lines, or choose "All items GST-free".
3
GST is worked out only on the lines you did not mark.

One invoice can mix GST-free and taxable lines. Each marked line prints "GST-free" under its description, the totals show the GST-free amount on its own row, and a short note under the totals says which lines carry no GST. When every line is marked, GST shows as nil.

"GST-free by default" on a participant
New invoices and quotes for that participant start with every line marked. You can change any line before you send. Work you do as a subcontractor for another provider is usually taxable: in the ATO's example, a contractor engaged by a provider is not making a GST-free supply to the participant. Ask your adviser.
Invio never decides what is GST-free
Whether a support is GST-free is for you and your adviser; the conditions are set out in when NDIS supports are GST-free.
Where it shows up afterwards
The marking appears on the invoice or quote your client sees, in the PDF and the email. The tax summary and the financial-year pack list these sales separately, and the invoice CSV export gains a column. The Xero and MYOB export formats leave out invoices that contain marked lines and tell you how many were left out.

Are Invio's AI features on for NDIS invoicing?

No. Voice invoices and Offsider, Invio's AI assistant, are off for a business with support worker invoicing switched on until the owner turns them on in Settings, Business, Your industry. Invio keeps no text of those AI conversations for that business.

If you turn voice invoices on and your lines show a date, you can dictate the week: "Tuesday 3 hours, Wednesday 4 hours" becomes two lines, each with its own date. Invio works out each date from the day you say, on your business's calendar. If a day is unclear, such as "next Tuesday", or is too far from today, the line is left without a date and you are told. Check every date and code before you save. Item codes come only from your own saved items; Invio does not fill them in from the NDIA catalogue.

Voice invoices, Offsider and a connected AI assistant cannot decide that an item is GST-free. If you switched on "GST-free by default" for a participant, a draft the assistant makes for them starts with every item marked, and says so. You can change any item.

What Invio does not do

Claims
It does not submit claims to the NDIA or a plan manager.
Codes, dates and prices
It does not check item codes, line dates against a plan, or prices against the NDIA Support Catalogue or the maximum prices in the Pricing Schedule 2026-27 (some plan managers still call these the price guide). Plan managers do that when they receive the invoice.
What is GST-free
It does not decide what is GST-free, and does not check the participant's plan, your written agreement or the Determination.
Travel rates
It does not suggest a travel rate or check a travel line against NDIS rules.
The catalogue
It does not bundle the NDIA Support Catalogue. You import your own download.
NDIS numbers
It does not check that an NDIS number belongs to a real participant - only that it is nine digits.

Questions about invoicing software for NDIS support workers

What is NDIS invoicing software?
NDIS invoicing software is software that produces invoices carrying the details plan managers ask for: the participant's NDIS number, one dated line per support, and the item code. Invio is an invoicing tool for sole-trader support workers. It is not a claims or rostering system.
Is there an NDIS invoice template?
There is no NDIS-specific Word or Excel file. The generic AU invoice template has no NDIS fields. In Invio, with support worker invoicing switched on, the invoice carries the participant's NDIS number and a date, unit and item code on each line. The guide shows a full sample and what plan managers ask for, and the generic AU invoice template is there if you only need a plain tax invoice.
Do I need NDIS registration to use Invio?
No. Invio does not require NDIS registration. Whether you need it depends on how the participant's plan is managed: providers who are not registered with the NDIS Commission can usually be used for self-managed and plan-managed supports, but not for NDIA-managed supports, and some supports, such as supported independent living, can only be delivered by a provider registered with the NDIS Commission (ndis.gov.au). See who you invoice for each plan type.
Does Invio check prices or submit claims to the NDIS?
No. Invio does not check item codes or prices against the NDIA Support Catalogue or the Pricing Schedule 2026-27 maximum prices, and it does not submit claims. Before you send it shows six gentle notes, such as a missing NDIS number or an undated priced line, which never stop you sending.
Is support worker invoicing free in Invio?
Support worker invoicing is available on every Invio plan, including the free plan, which allows up to 5 invoices a month. It is available to Australian accounts, since 11 October 2026. Paid plans are on the pricing page.
