Statement of account template and guide
A statement of account is a summary of what one customer owes you: the invoices you have sent, the payments you have received and the balance. Here is what goes on it and a template to copy.
No credit card required - 5 free invoices a month. The statement of account template is free to copy or download. No sign-up.
What a statement of account is
A statement of account lists everything that has happened on one customer's account over a period: invoices you issued, payments and credits you received, and what is still owing. It is a summary for the customer, who can then match it against their own records.
It is most useful when a customer has several open invoices, or pays in batches and needs one document to pay against.
A statement is not an invoice
The two do different jobs, and a statement does not replace the tax invoice for each sale.
| Invoice | Statement of account | |
|---|---|---|
| What it covers | InvoiceOne sale | Statement of accountAll activity on one customer's account for a period |
| Purpose | InvoiceAsks for payment for that sale and, for a GST sale, is the tax invoice | Statement of accountShows the balance and what is overdue |
| Tax invoice | InvoiceYes, when it meets the tax invoice rules | Statement of accountNo. Keep issuing a tax invoice for each sale |

When to send a statement
Many businesses send statements once a month to customers with open invoices. Send one sooner when an account has more than one invoice overdue. A statement is also a calm first step before a reminder, because it shows the facts and asks for nothing more.
If a statement and reminders do not get you paid, business.gov.au sets out the next steps: check the contract, send a reminder, then a letter of demand. Our letter of demand template and the guide to chasing overdue invoices cover them.
Invio does not produce customer statements. What it does is keep the invoice list with each invoice's status and due date, and send reminders for invoices that are overdue. Invio's Auto-Reminders chase an unpaid invoice on a set schedule and stop as soon as you mark it paid. They are free on your first 3 invoices and run on every invoice on a paid plan.
